Date the Doctor privacy notice

This notice explains how Grazer Holdings Limited uses personal information submitted for the Date the Doctor campaign. It applies only to people who submit a campaign application and does not change how we use existing Grazer account data. You can also read our main Privacy Policy and the campaign terms.
Information we collect
When you apply, we collect:
- Your first and last name, date of birth, country of residence and email address
- Your confirmation that you are a woman aged 18 or over
- Your diet, written application answers and broad travel or verification-call preferences
- One or two photographs
- The consent choices, campaign identifier and submission time attached to your application
- Limited technical and security information, such as IP address and browser details, used to prevent spam, fraud and misuse
Please do not include financial information, identity documents, medical records, your full home address, or information about another person in your answers.
Sensitive information
Applying to date a named person, and the answers you choose to provide, may reveal or allow us to infer information about your sexual orientation, health, religious or philosophical beliefs, racial or ethnic origin, or other sensitive matters. Some of this is special category personal data under UK data protection law.
We process any such information only with your explicit consent and solely to assess and administer your Date the Doctor application. We do not use facial recognition or other biometric identification on your photographs.
Why we use your information
We use the information to:
- Check campaign eligibility and review your application
- Contact you about the application, verification and selection process
- Share shortlisted applications as described below
- Protect the campaign and its participants from fraud, spam and safety risks
- Meet legal obligations and respond to data protection requests
For the application and any sensitive information you provide, we rely on your consent and, for special category information, your explicit consent. For proportionate security and fraud prevention, we rely on our legitimate interests in protecting the campaign and its participants.
People at Grazer review applications. We do not make campaign selection decisions based solely on automated processing.
Who can see your information
Access is limited to the Grazer campaign team and service providers that host or secure the application service on our behalf. If you are shortlisted, we may share the relevant parts of your application and photographs with Dr Michael Greger or his authorised representative so they can participate in the selection process.
We may also disclose information where required by law or where necessary to protect someone’s safety. We do not publish applications, sell application data, or use it for unrelated advertising.
Where we store it
We store campaign data using Google Cloud services in a European region, with encryption and access controls. A service provider may process limited information outside the United Kingdom or European Economic Area. Where this happens, we use an appropriate lawful transfer mechanism and contractual safeguards.
We use Google reCAPTCHA Enterprise to protect the application form from automated abuse. Google may process limited technical information, such as browser and network signals, for that security check. We do not use those signals for advertising or to decide which applicants progress.
How long we keep it
We delete unsuccessful applications, including written answers and photographs, within 90 days after applications close. If you are shortlisted, we delete the full application within 90 days after the campaign finishes.
We may retain a minimal record of consent, the application outcome and any necessary safety or legal record for up to five years where required to demonstrate compliance, resolve a dispute or protect participants. Backups are removed through their normal secure deletion cycle.
Your choices and rights
You may withdraw your consent at any time by emailing feedback@grazerapp.com with the subject “Date the Doctor privacy”. Withdrawal does not affect processing that was lawful before you withdrew, but we will remove your application from further consideration and delete it subject to any limited legal or safety retention need.
You may also ask us to access, correct, delete or restrict use of your information, or object to processing based on legitimate interests. You can complain to the Information Commissioner’s Office (opens in a new tab) if you are unhappy with how we handle your information.
